Day in the Life
AI Agents on Phone, WhatsApp, and Ordering Systems
How AI Agents answer calls and WhatsApp, capture leads, and can be linked to an ordering or booking tool as scoped custom work — with human approval and BYOC voice/compute costs.
Missed calls, unread chats, and leads that die in a DMs folder are the same problem: your front door is open, but nobody is staffing it every hour. Connected Spaces builds AI Agents that sit on that front door — voice and WhatsApp — and, as part of the Business Partnership plan, can be linked to the booking or ordering tool you already run.
This is the customer-facing desk. For messaging your own AI team as the owner (inventory checks, approvals), see Message your AI team over WhatsApp.
Show me (live product, not a mock):
- How the AI FrontDesk works — the short version, with the live demo.
- Restaurant phone orders and WhatsApp orders — the two most common setups.
- Call or WhatsApp the AI FrontDesk on /contact — AI FrontDesk answers calls and WhatsApp on the published number when configured (the demo is the product).
- Try the multi-agent chat demo — collaborative AI Agents on a real chat surface.
The problems by vertical
These show up across the industries we highlight. The details change; the pattern does not: demand arrives on phone and chat, then dies unless someone captures it and routes it to a person.
Hospitality / restaurants
- Missed rings at open and close — catering and reservations hit when the floor is slammed or empty.
- WhatsApp order chaos — specials, allergy notes, and party size land in a personal phone with no ledger.
- Phone and WhatsApp orders that never become a ticket — your POS or ordering tool already owns tickets and online orders; the gap is the phone or WhatsApp conversation that stays in a chat thread.
Professional services / clinics / beauty
- Lead gen without follow-through — web form, Google call, and Instagram DM never land in one queue.
- After-hours inquiries — a new client books a competitor who answered first.
- Scheduling handoff — the agent can capture intent; a human still owns clinical or service judgment.
Retail / multi-location
- Store phone as a black hole — “do you have this in stock?” becomes a voicemail no one returns.
- Chat that never hits inventory — answers invent stock instead of checking a real source. A stock check when two systems disagree is something we can build inside a plan.
- Lead lists that rot — events and waitlists live in a spreadsheet the owner never opens.
If you do not see your vertical named, the same front-door pattern still applies: answer → capture → hand off → approve.
What the AI FrontDesk does
cnx-omnidesk is the product name for the omnichannel front door: voice · WhatsApp · web, with shared context so a customer is not a stranger every channel.
What is live today, and what is custom work:
| Capability | What it means in practice | Truth anchor |
|---|---|---|
| Answer inbound voice | AI Agents pick up the business line, capture intent, and route or escalate | AI FrontDesk on /contact; hospitality “catering call” day-in-the-life |
| Answer WhatsApp / chat | Same desk on messaging — questions, bookings, handoffs | AI FrontDesk WhatsApp on /contact; inbound channel agent workflows |
| Human-in-command | Consequential actions wait for approval (spend, external send, irreversible writes) | Governance model across learn + agents |
| Link to an ordering or booking tool | Part of Business Partnership. Square, Toast, Clover and Olo all give us a way in; the link is part of the Business Partnership plan* | Scope confirmed in writing before any build; accounts stay in your name |
Live today: phone (through Twilio), WhatsApp and email. What we do not claim here: a ready-made POS, ordering, booking or CRM connector (links are built per project), that AI is unsupervised, or that phone/WhatsApp minutes are free. BYOC: AI-platform and phone usage bill to you at the provider’s published rate — see plans & pricing.
Ordering and booking tools
You probably already pay for an ordering or booking tool. The FrontDesk does not replace it.
- Today: the FrontDesk answers the call or message, captures the details, and hands them to a person to enter or approve.
- If you want a link: Square, Toast, Clover and Olo all give us a way in; so do most ordering tools. Connecting your tools is part of the Business Partnership plan. Third-party accounts (Google, telephony and messaging providers, etc.) are created in your name where applicable; provider terms still apply.
* Some tools take longer and need a workaround. Connecting your tools is part of the Business Partnership plan. Tool names belong to their owners; naming one means we can work with it, not that they endorse or certify us. See what we connect.
Example flow (hospitality-shaped, illustrative of custom work):
- Customer calls or WhatsApps: “Table for six Saturday, patio if possible.”
- AI Agent captures party size, time, constraints; a person confirms availability (a live check exists only if you have us build that link).
- If inventory or prep is involved, ops agents can draft a supplier or schedule change — queued for manager approval.
- Confirmation goes out on the same channel the customer used.
Voice stack: rails, agent platforms, and BYOC
Voice is a commodity input, not the brand. Connected Spaces configures and governs AI Agents on top of leading telephony and voice platforms — you pay providers at their published rates (BYOC) for phone and AI-platform usage. Naming a provider is not a partnership or endorsement claim.
| Layer | Examples (non-exclusive) | Role |
|---|---|---|
| Telephony / messaging rails | Carrier and Business messaging providers | Numbers, SMS, WhatsApp Business connectivity, call transport |
| Conversational voice agents | Retell AI (in active use for voice) and peer agent platforms | Real-time call handling, turn-taking, tool calls where a link has been built — uses Retell AI for voice agents; not a partner/endorsement |
| Speech synthesis / voice quality | Leading TTS providers where the engagement specifies natural agent voice | Natural agent speech (including hold and spoken prompts) |
| Models & orchestration | Models from the leading providers (OpenAI, Anthropic, Google) via the AI SDK | Reasoning and tool use under your policies |
You are not locked to a single black-box phone-agent SaaS. Providers can change; the management layer and agent rules are what we build and transfer under the ownership model. See Own the management layer and Technology stack.
Per marketing guardrails: commodity telephony/TTS brand names are not used in customer copy; Retell AI may appear on this dedicated deep page only as a usage fact, never as partnership status.
Owner command channel vs customer FrontDesk
| Surface | Who talks | Channel examples | Learn more |
|---|---|---|---|
| AI FrontDesk (customer) | Customers & leads | Inbound phone, WhatsApp Business | This page · Show me on /contact |
| Owner command surface | You and scoped staff | WhatsApp, SMS, Google Chat, Email to your agents (Slack or Teams on request) | Message your AI team |
| Internal multi-agent work | Your team + AI Agents | Dashboard chat / demo | AI Agent demo |
Same company; different doors. Both stay under scoped permissions and approval gates.
Lead gen management (the part most “AI phone” tools skip)
Answering is not enough. A FrontDesk that cannot write to a lead record is just a smarter voicemail.
AI Agents on voice and WhatsApp should:
- Capture — name, intent, channel, consent where required.
- Classify — booking vs sales lead vs support vs spam.
- Queue — owner/manager approval for high-value or high-risk paths.
- Hand off — to a person, by email or chat. A link to a CRM, calendar or booking tool (HubSpot, Calendly, Vagaro) is part of the Business Partnership plan.
- Follow up — drafted outreach stays draft until you approve external send.
That is how lead gen stops living only in a personal inbox.
Governance (short, required)
- You stay in control. Agents operate within defined authority boundaries. Important actions require approval.
- Authority boundaries — the agent that answers the phone is not the agent that moves money or sends irreversible external messages.
- Reviewable logs — every consequential action is logged and reviewable.
- cnx-omnidesk is the product name for the omnichannel front door; customer-facing language is AI FrontDesk / AI Agents on voice and WhatsApp.
